Getting Your School Off The Ground – Managing Students, Taking Attendance

Once your school is set up, the next step is managing the people who make it run: your students.

This guide walks you through:

  • Adding students to your school
  • Enrolling students in classes
  • Taking attendance

By the end, you’ll understand not just how to manage students, but when to use each tool.

How Student Management Works

Before diving into steps, it helps to understand the structure:

  • A student must exist in your school before they can be enrolled
  • A student can be enrolled in one or multiple classes
  • Attendance is recorded at the class level

Adding a Student

Before a student can join a class, they must exist in your school system.

You can add students from the Users > Students section. During setup, you can:

  • Enter basic student information
  • Associate them with an existing family account or create a new one
  • Choose whether to send login instructions immediately

When Should You Send Login Instructions?

Send login instructions if:

  • The student manages their own access
  • You want families to log in right away
  • You are preparing accounts before the term begins

Skip this if:

  • You are enrolling students manually
  • A guardian will manage access later

Enrolling Students in Classes

Once a student exists in your school, they can be enrolled in classes.

Enrollment occurs within each class and links the student to that class roster. Students may be enrolled in multiple classes depending on the structure.

Most schools complete enrollment:

  • At the start of a term
  • When new students join mid-session
  • During schedule changes

Taking Attendance

Attendance is recorded at the class level and tied to specific dates. This creates a running record of participation throughout the term.

Schools typically record attendance:

  • On the same day as class
  • Weekly for recurring programs
  • At the end of each session block

Why Attendance Matters

Consistent attendance tracking:

  • Maintains accurate class records
  • Supports billing (if attendance affects enrollment rules)
  • Helps you monitor student engagement
  • Provides documentation if questions arise later
